Client Window

Use this window to add, update and display client information selected by CLIENT ID.

Client ID F2

Identify each client with a unique ID of one to four alphanumeric characters.

Press F2 or the right mouse button to search for a client already in the database. From the SEARCH METHOD pop-up, you can select either a PICK LIST or the FIND WINDOW.

Sort Name

Enter up to 10 alphabetic characters in this field. The system uses the entry in this field when it sorts records by name. In most cases, your entry should be the default provided by the system, which is the legal client's last name followed by a comma and as much of the client's first name as space allows.

Legal Name/Address

Enter the legal name of the client — the party who receives statements and notices. In some cases, the name you enter here will be different from the name that should appear on disbursement checks (the PAY TO name, which is specified elsewhere in this window). For example, the LEGAL name may be the client, but the PAY TO name might be the name of the client's bank, including the bank account number.

Name

Enter the client's name as you want it to appear on report headings, notices and mailing labels. An entry up to 30 characters long is required.

Use these Radio Buttons to view either the primary phone number or the primary address. These fields are read-only. Phone and address information must be entered using the ADDR/PHONE button.

The ADDR/PHONE button brings up the ADDRESS/PHONE window. After address and phone information is saved in this window, it will be displayed under the NAME fields on the main CLIENT WINDOW.

Address, line 1

Enter the street address for the client, as you want it to appear on all reports and notices. The entry can be up to 30 characters in length.

Address, line 2-4

Use lines 2-4 for entering the remaining address information, including CITY/STATE/ZIP. On any line, if you enter a five digit U.S. zip code and nothing else, the line will be filled in with the city, state and zip. For foreign addresses, simply enter information as received.

Phone Numbers

Enter each phone number on a separate line. For valid input, the number should be in XXX-XXXX or XXX-XXX-XXXX format, including the dashes. If you are entering international numbers, input the number as is. When you press ENTER, you will receive an error message about the number being improperly formatted. To keep the foreign format, press ACCEPT.

Pay To Name/Address

These fields should contain the name and address you want to appear on CLIENT DISBURSEMENT CHECKS. The same fields required for the LEGAL NAME/ADDRESS are required here. For speed of entry, your entries in the LEGAL NAME/ADDRESS fields are duplicated as default entries in the PAY TO NAME/ADDRESS fields. If the PAY TO NAME/ADDRESS is different than the LEGAL NAME/ADDRESS, you should override the defaults and type the correct information in each field.

If the default entries are correct, just press TAB to move the cursor through these fields with no changes.

Contact

Enter the name of the contact person for the client, if any.

Notes

In the NOTES field, you can record any information concerning the client that needs to be remembered. Your entry can be any length.

In order to report 1099 data to the IRS, you must indicate which type of tax identification number is going to be entered into the TAX ID field (see next field). There are two possible types of TAX ID, SSN (or SIN in Canada) and EIN, which you specify using the radio buttons located to the left of the TAX ID field:

Cwhelp00090000.gif Select the SSN radio button (labeled SIN for Canadian companies) if the TAX ID number in the next field is a Social Security Number or Canadian Social Insurance Number.

Cwhelp00090000.gif Select the EIN radio button if the TAX ID number in the next field is an Employer Identification Number.

Tax ID (Optional)

Enter the Federal TAX ID number that is to be printed on the 1099 tax form for this owner. This TAX ID number can be a SOCIAL SECURITY NUMBER or an EMPLOYER IDENTIFICATION NUMBER. Enter data in one of the following formats:

Social Security Number: XXX-XX-XXXX

Social Insurance Number: XXX-XXX-XXX

Employer Identification Number: XX-XXXXXXX

The type of TAX ID you use must be indicated by your selection of one of the radio buttons to the left of this field.

If you do not make an entry in this field, there will not be a 1099-MISC tax form for the corresponding client. If you want to print a 1099 for a client, be sure to obtain the necessary information from the client well in advance of the year's end.
